Administrative Officer Children's Diabetes Centre

The Opportunity:

This challenging role involves the management of administration processes across two different organisations, the Perth Children's Hospital and The Kids Research Institute Australia. We are seeking an experienced Admin Officer with Executive Assistant experience to join our busy and committed team of researchers. The purpose of this role is to provide efficient and effective administration support to the Co-Directors of the Children's Diabetes Centre, as well as the Centre's Management Team and researchers.

The Role:

The position will manage accounts for study budgets across two different financial systems including invoicing, payment processing, credit card, keeping track of transactions

  • Support the work of the Children's Diabetes Centre to enable smooth functioning and achievement of goals within time constraints
  • Manage the Co-Directors' diaries including monitoring and responding to emails and prioritising correspondence where appropriate, organising meetings, workshops and teleconferences and arranging travel for our busy researchers. 
  • Manage the Team's Endnote library
  • Responsible for updating CV's on a regular basis including publications, abstracts for conferences, successful grants
  • Manage meetings including room bookings and minute taking, as well as team events and staff functions
  • Ensure all invoices and payments are processed and maintain the centres finance filing systems across multiple sites
  • Undertake document management including the formatting/typing of correspondence, submissions, agenda's and presentations
  • Coordinate submission processes for grants and funding opportunities from national and international institutions and funding bodies, and post-award activities such as progress and financial reporting including keeping records.
  • Assist the research team with administrative activities as required
  • Manage office requirements including printers, petty cash, stationary and study archiving

Experience: 

  • The successful candidate will have a minimum of 5 years’ experience in a similar office administration role
  • Demonstrated experience with travel management and events management as well as Executive assistance
  • Outstanding experience in managing financial systems and budgets
  • Excellent organisational skills
  • Ability to work independently and to set priorities
  • Ability to multitask and support team requests
  • Problem solver
  • Self-motivated, flexible and friendly
  • Demonstrated good oral and written communication skills
  • Sound experience with Microsoft suite of applications and online application
  • High level of attention to detail

We will look favourably at applicants who have experience within an academic and/or clinical research environment, as well as experience with diagrammatic programs and Endnote.

This is a fixed term position for 12 months with the possibility of extension. Although the position is required 5 days a week, we will consider reduced hours for the right applicant.

Salary: Between $67,000 and $73,000 per annum. Remuneration package includes access to generous salary packaging. The successful candidate will need to provide a National Police Check before commencement.
